Setting up email on your device (Outlook, Apple Mail, phone)
Use MyPandos mail in any standard mail app. Desktop and phone apps sign in with an app password, not your normal MyPandos password.
You can use MyPandos mail in any standard mail app — Outlook, Apple Mail, Thunderbird, or the Mail app on iPhone or Android.
Use an app password, not your sign-in password
Desktop and phone mail apps connect over the standard mail protocols (IMAP and SMTP), which cannot use single sign-on or the MFA prompt. So instead of your normal MyPandos password, each app uses an app password — a long, random, per-device password you generate yourself. This is safer: you can revoke one device without changing anything else.
Create an app password
- Open your webmail sign-in page and choose User settings (or go to https://mail.mypandos.io/user), then sign in.
- Open App passwords and create a new one. Give it a name like “iPhone” or “Outlook laptop”.
- Copy the generated password and paste it into your mail app. You won't be able to see it again — create a new one per device.
Connection settings
Use these in your mail app. Your username is always your full email address, and the password is the app password you just created.
Your server is mail. followed by your own domain — for example.com it is mail.example.com. Your dashboard shows the exact value under Connection Settings on your email service; if it shows a different server there, use that one.
- Incoming — IMAP (recommended): server mail.<your-domain>, port 993, SSL/TLS
- Incoming — IMAP alternative: server mail.<your-domain>, port 143, STARTTLS
- Incoming — POP3 (only if you must): server mail.<your-domain>, port 995, SSL/TLS
- Outgoing — SMTP: server mail.<your-domain>, port 465, SSL/TLS
- Outgoing — SMTP alternative: server mail.<your-domain>, port 587, STARTTLS
IMAP is recommended over POP3 — IMAP keeps your mail on the server and in sync across all your devices; POP3 downloads and removes it. Outgoing mail requires authentication — use the same email address and app password (if your app asks, “use same settings as incoming”).
Apple Mail / iPhone quick notes
Choose the “Other” account type (not iCloud or Exchange), enter your email and app password, and Apple Mail will usually find these settings automatically. If prompted, use the IMAP and SMTP values above.
Outlook quick notes
Add a new account, choose IMAP when offered account types, and enter the incoming and outgoing values above. Set your app password as the password for both incoming and outgoing.
Can I get the Outlook/Exchange experience with MFA?
Not over IMAP/SMTP — no self-hosted mail server can push MFA into desktop mail apps for a custom domain (only Microsoft 365 and Google Workspace can, because the apps hard-code them). Webmail gives you SSO and MFA; mail apps use app passwords. If your team specifically needs MFA enforced inside Outlook itself, ask us about the Microsoft 365 option.
